As the academic year is quickly coming to an end, we need to elect our new committee for next year. We are looking for:
a President: who represents the society, makes sure everything is going smoothly and organises an effective committee;
a Secretary: who handles all the administrative stuff, deals with the Union and is the 'engine' of the society;
and a Treasurer: who is in charge of the money, makes sure we don't run out of it, handles grants and pays our teachers.
There are additional ranks such as Vice President and Social Secretary, having a big committee is a great thing, shares the workload. We would like to have the AGM next week, location is TBA and would like to invite every member of the society, especially the people who are interested in being in next year's committee! It's more fun than it is hard work, it is a lovely society + looks pretty shiny on your CV!
Please put down your name if you are interested and if you have any questions, don't hesitate to ask us! If you have rank specific questions, here are a reminder of who to contact (you can all catch us here or facebook): Prez - László Tálas Vice Prez - Alex Lombardo Secretary - Kaete Robinson Treasurer - Kevin Williams Social Sec - Emma Howell
Right, first thing: AGM moved to Sunday, it's gonna be at 5pm in the Anson Rooms (just before training).
Also, there hasn't been much (any) interest yet for positions. May you be warned, if there is no committee = there is no society. Loss of the society will result in:
- Loss of room bookings in the Union (= free training space) - Loss of the option to organize any events in the Union / on any University premises - Loss of lessons on any University premises
The committee requires 3 positions: president, secretary and treasurer, all of them have to be UoB students. As many of our members are actually not students, there is an option to form a "shadow committee" where students are formally doing the job, but in reality someone else sorts out stuff. May you be warned although this is a possibility, it is very risky.
If we could not elect a committee this Sunday, the following will happen: this year's committee is in charge till the end of this year, so we will make sure people can train till the end of the academic term. However, if a new committee would not be formed till the end of the term, I will tell the Union that there is no interest for the society next year. So please spread the word!
Not sure if you guys have done this yet, but Mike and Diana need to be involved.
"This form must be filled out by the incoming President (who must be logged in) and the Treasurer (both of you need to be present to agree to the legal disclaimer at the end.) "
Have just copied and pasted from the email:
If you have not submitted this year's handover form by the END OF JUNE (new societies excepted), without contacting me, then you will NOT get a freshers' fair stall and we will assume your society defunct. If your society is on this list please submit your form or get in touch
1. REMINDERS - HANDOVERS
If you are still receiving this and are no longer a society leader, get your successors to complete the form at
to officially register them with UBU. Ensure all communication is forwarded to the new committee.
If you are a brand new committee, make sure you have obtained the following from your predecessors: - Key information about how your society works! - Useful contacts or suppliers, and recurring sponsorship deals (though see 3.) - Mailing list ownership and UBU webpage access (though I can do this for you if you ask) - For external bank accounts, you have change signatories at the bank and the old treasurer has submitted their written-up accounts to UBU for audit, including: - Ledger - All receipts - All cheque books and stubs - All bank statements - For Union accounts, that the old treasurer has explained the workings to you (ask me if you're unsure) - Information about and access to the society's owned equipment, resources etc..
OK fantastic, I didn't know anything about how the grant works (or that the deadline was so soon!). We have done the UBU webpage handover, but I still need to sort out the mailing list, facebook etc.
I'll be busy most of the day, but ought to be able to make it from about 4pm til whenever (depending on how long an introductory session in the afternoon carries on for).
